EXECUTIVE ASSISTANT TO THE PRESIDENT & CEO

POSITION SUMMARY

The Executive Assistant to the President & CEO provides high-level administrative support to the President and works closely with the Board of Trustees and the Senior Management Team in a dynamic team environment. The Assistant performs secretarial, confidential, and administrative assignments requiring a detailed knowledge of the Witte Museum’s three initiatives of South Texas Heritage, Water, and Science; donor cultivation; policies, and procedures.

RESPONSIBILITIES:

  • Manages and maintains the President’s office, including calendar and appointments, ensuring that the office projects a highly professional image, including President’s office and Conference room areas
  • Organizes, plans, and facilitates meetings, lunches, and events: Board of Trustees meetings, Senior Management Team meetings, and other functions as required
  • Maintains Initiative, Financial and Board notebooks and up-to-date filing systems
  • Organizes, plans, and implements travel arrangements
  • Maintains databases, mailing lists, meeting agendas, and meeting minutes for Board of Trustees and Senior Management Team
  • Conducts written and electronic correspondence; prepares reports and purchase orders; handles typing, faxing, copying, filing, and maintaining office supplies
  • Prepares PowerPoint presentations at the direction of the President & CEO
  • Represents the President & CEO as needed, including errands
  • Performs other duties as assigned by the President & CEO

EDUCATION:

  • Required: Four year college or university graduate with demonstrated writing skills

EXPERIENCE AND SKILLS:

  • Five years experience at the Executive Assistant level
  • Excellent planning, organizational, and time management skills
  • Excellent oral and written communication skills
  • Proficient in Microsoft Office Suite with demonstrated skills in Excel and PowerPoint; familiarity with Raiser’s Edge a plus
  • Ability to learn new software applications
  • Knowledge of mailing list usage, correspondence protocols, and filing systems
  • Ability to effectively interact with Trustees, management, staff, and guests
  • Ability to manage sensitive and confidential information, exercise strong initiative and good judgment
  • Bilingual (English/Spanish) a plus 

PHYSICAL REQUIREMENTS:

  • Ability to lift 30 lbs.
  • Must be able to work for long periods of time while seated
  • Evening and weekend hours as needed
