EXECUTIVE ASSISTANT TO THE PRESIDENT & CEO
POSITION SUMMARY
The Executive Assistant to the President & CEO provides high-level administrative support to the President and works closely with the Board of Trustees and the Senior Management Team in a dynamic team environment. The Assistant performs secretarial, confidential, and administrative assignments requiring a detailed knowledge of the Witte Museum’s three initiatives of South Texas Heritage, Water, and Science; donor cultivation; policies, and procedures.
RESPONSIBILITIES:
- Manages and maintains the President’s office, including calendar and appointments, ensuring that the office projects a highly professional image, including President’s office and Conference room areas
- Organizes, plans, and facilitates meetings, lunches, and events: Board of Trustees meetings, Senior Management Team meetings, and other functions as required
- Maintains Initiative, Financial and Board notebooks and up-to-date filing systems
- Organizes, plans, and implements travel arrangements
- Maintains databases, mailing lists, meeting agendas, and meeting minutes for Board of Trustees and Senior Management Team
- Conducts written and electronic correspondence; prepares reports and purchase orders; handles typing, faxing, copying, filing, and maintaining office supplies
- Prepares PowerPoint presentations at the direction of the President & CEO
- Represents the President & CEO as needed, including errands
- Performs other duties as assigned by the President & CEO
EDUCATION:
- Required: Four year college or university graduate with demonstrated writing skills
EXPERIENCE AND SKILLS:
- Five years experience at the Executive Assistant level
- Excellent planning, organizational, and time management skills
- Excellent oral and written communication skills
- Proficient in Microsoft Office Suite with demonstrated skills in Excel and PowerPoint; familiarity with Raiser’s Edge a plus
- Ability to learn new software applications
- Knowledge of mailing list usage, correspondence protocols, and filing systems
- Ability to effectively interact with Trustees, management, staff, and guests
- Ability to manage sensitive and confidential information, exercise strong initiative and good judgment
- Bilingual (English/Spanish) a plus
PHYSICAL REQUIREMENTS:
- Ability to lift 30 lbs.
- Must be able to work for long periods of time while seated
- Evening and weekend hours as needed
